OCR quality assurance and document processing

OCR quality assurance and document processing

Compliant with DIN EN ISO 17100

Scanned documents, digitised archives, automatically captured content: OCR is only the first step. What happens next determines whether your content is reliable and fit for purpose.

flexword takes over at the next stage following text recognition: manual validation, content correction and structural formatting – ensuring that OCR results become what they are meant to be: reliable, accurate and ready for immediate use.

Which documents benefit most

Not every file benefits equally from OCR post-processing. Documents in which errors have direct consequences – whether legal, technical or financial – are particularly critical.

Typical applications:

  • Legal and contractual documents
Contracts, statements of claim, patent specifications, minutes – a single misread word or incorrectly captured number can change both the meaning and the legal force of a document.
  • Financial documents and compliance records
Balance sheets, audit reports, IFRS financial statements, regulatory documents – the numbers have to be right. Every time.
  • Technical documentation
User manuals, data sheets, circuit diagrams, technical specifications – technical precision is not an option, but a prerequisite.
  • Archival material and document collections
Old files, scanned documents, digitised collections – this is where the bulk of the extra work arises if OCR has not been post-processed.
  • Regulatory and authorisation documents
In the life sciences, pharmaceutical and medical technology sectors, these documents are subject to regulatory scrutiny, routinely cited and can carry significant liability risks. Mistakes are not an option.

How raw text is turned into reliable content

OCR recognises characters. But recognising characters is not the same as understanding content.

An ‘8’ instead of a ‘B’, a misaligned table column, a missing punctuation mark – mistakes that often go unnoticed in continuous text. In a contract or technical specification, those small errors can have major consequences.

flexword takes over where OCR falls short:

Full text validation

Content, figures, technical terms and structure are systematically checked

Content correction

Errors are not only highlighted, but also corrected

Terminological consistency

Subject-matter accuracy in all relevant areas

Formatting and structure

Tables, numbering and references remain intact and consistent

Final QA check

Every document undergoes a final review before delivery.

The result:

Documents you can rely on throughout the entire process. Accurate in content, structurally sound and robust in use.

How OCR fits into existing workflows

In projects, OCR post-processing is often simply a process component that can – and should – be integrated into existing document workflows.

This is how OCR quality assurance works

What happens next after the OCR check

OCR post-processing is often the starting point for further steps. flexword also supports the subsequent stages.

Direct use

The validated document is delivered in the required format and is ready for immediate use.

Translation

Reviewed texts can be fed directly into the translation process – in all languages for which flexword has specialist translators on hand.

Archiving and further processing

Well-structured, clean documents can be reliably indexed, archived or imported into existing systems.

Ongoing processes

For larger volumes of documents or recurring tasks, flexword offers scalable workflow solutions.
