Do you work according to the double-check principle?

The answer is yes, of course. Our quality standards are technically far superior to this. In the translation industry the term "Double-Check Principle" means that translations are checked by a second person who provides the "second pair of eyes", but the requirements for this "second pair of eyes" are not defined. We work strictly according to EN ISO 17100 for Translation Services, which stipulates that the proofreading – the EN ISO 17100 for Translation Services standard uses this term - should be carried out by a second translator who has the qualifications prescribed by the standard for translators and the linguistic expertise defined by standard EN ISO 17100.



How are Mannheimer Sprachendienst and flexword connected?

This is one and the same company. Mannheimer Sprachendienst Miš-Čak & Partner has been developing into one of the leading language service providers in Europe since 1992.

Changing the name of the partnership company from Mannheimer Sprachendienst Miš-Čak & Partner to flexword Miš-Čak & Partner was the next logical step given the international nature of our business activities.

In this regard it is important to emphasise that we have merely changed the name. We have not changed the legal status of the company or established a new company and there has been no merger or any other change of corporate form.

The company will continue to exist with the same management, the same registration number in the partnership register and the same rights and obligations. All the framework agreements, non-disclosure agreements and cooperation agreements concluded with Mannheimer Sprachendienst Miš-Čak & Partner and any other agreements and obligations that Mannheimer Sprachendienst Miš-Čak & Partner has entered into will continue to apply.



How do you ensure that customers’ data is protected against access by third parties?

Confidentiality and data security are a top priority because of the special business relationship with customers that is associated with handling sensitive and confidential data. Confidentiality and data security will always be given this priority when collecting, processing and using and when transmitting data.

Every flexword employee signs a non-disclosure agreement and our additional terms and conditions for translators and proofreaders contain strict clauses on confidentiality and data protection.

All data processing systems at flexword are protected by password. Each user has their own access data. The network administrators change their access data at regular intervals.

Access and download rights are authorised or restricted individually for each user by means of server-based configuration of user accounts and the order-processing software used. In addition, each activity can always be unequivocally attributed to one user in all data processing systems. 

flexword does not use any cloud services for the storage or interim storage of data provided by customers.

All the data for our customers’ projects are stored on servers physically located at our premises in Mannheim. A secure VPN connection can be created for external access to project data, for example by freelancers, and the project can be processed internally without it having to be forwarded.

Can you give a recommendation for which translation memory system/CAT tool you think is the best?

flexword uses different translation memory systems and terminology tools as dictated by the order requirements, data format and project specifications. Depending on the particular project, the main programmes we use are SDL Trados Studio, Across Language Server, MemoQ or STAR Transit, and these are combined with the corresponding terminology management tools such as SDL MultiTerm and Crossterm.

flexword is the right contact partner for qualified and independent recommendations and for explaining the advantages and disadvantages of individual tools after taking a close look at your company’s actual and target requirements and is happy to support you with introducing the optimum CAT tools for your company.

Will extra costs be incurred for maintaining a customer-specific translation memory and terminology databases?

The licencing, installation and use of translation memory systems and terminology management tools involves a high level of investment in the latest CAT technologies.

The proper use of CAT tools requires handling by qualified and trained project members.

Professional language service providers see this investment as a quality assurance measure. At flexword we take the use of CAT technologies into account as standard in the price per word.

In addition to the use of these CAT functions for the standard workflow, flexword offers a number of additional services in the area of translation memory and terminology management. The rights of use and ownership for our translation memories and terminology databases are held by flexword as standard. flexword agrees individual cost structures for customer-side TM/terminology management and customer-side status of CAT licences, depending on the specific situation.

Do you subcontract translation orders, for example to other translation agencies?

Translation orders are only processed by internal flexword employees, who take on the role of project managers in each individual case. One of flexword’s strict business policies is that flexword does not subcontract orders to other translation service providers/language service providers. Moreover, the translators and proofreaders and other language experts who work for flexword on a freelance basis are contractually obligated to carry out the projects assigned to them personally. According to the order conditions, they are not allowed to subcontract orders to subcontractors or to co-translators. This is a USP of flexword in the translation industry.

How do you calculate the delivery deadlines? Do you carry out a feasibility check?

The specified delivery deadlines are based on strictly defined work processes and enable us to give precise details. Owing to the strictly defined work processes, seamless project documentation and specified communication channels it is possible to react flexibly to last-minute changes to the availability of personnel. Delivery deadlines can also be met if the project circumstances change. flexword is well-known and respected by its customers for this USP.

The delivery deadlines specified in quotations are based on experience gathered from 25 years of translation management.

These delivery deadlines take into account factors such as the type of text, language engineering, the average output of a professional translator or proofreader in this specialist field as well as the monitoring and final quality control by the project management.

What criteria do you use to assess the qualifications of your translators and project managers?

Translation management at flexword is certified in accordance with EN ISO 17100.

Compared with the requirements of the standard, flexword’s internal quality standards however exceed the requirements of EN ISO 17100 for translation services.

At flexword we attach great importance to a higher level of formal translation training, and so this constitutes a mandatory minimum requirement.

For languages where no such training option is available, an equivalent formal education is required.

In addition to this, the specialist translators we use already have at least five years’ professional translation experience. This requirement is mandatory.


Do you have experience with translating websites or online shops?

Yes, translating websites and online shops is one of flexword’s standard services.

We regularly handle translation projects with a monthly volume of approximately 50,000-70,000 words, and at peak times more than 1.2 million words are translated for an individual customer within less than three months.

Generally, in addition to the shop content, we also translate technical documentation, operating instructions and product information for the online portal.


Does flexword use machine translations?

Machine translations are an important element and should be considered part of the translation workflow for standardised texts with a high repetition rate - predominantly technical texts and terminology databases.

Professional use of translation engines can reduce costs considerably and shorten the processing time.

It is important to bear in mind that machine translations still have limits compared with human translations by professional specialist translators. A second important factor is data protection, which is removed when using publicly powered translation engines.


For these reasons, flexword only uses machine translation as part of the translation workflow when expressly permitted and required by the customer.

Please note that for translation engines to reach the same high standard compared with human professional translation the standard of the text pre-translated by machine translation has to be extremely high for the post-editing.
